Operations Manager at the International German School Hefei Job Description About IGS: The International German School Hefei (IGS) is a newly founded German school offering a unique bilingual German-English program. We are seeking an experienced and highly motivated Operations Manager to join our vibrant school community. As the Operations Manager, you will play a pivotal role in ensuring the smooth and efficient operation of our school, overseeing a wide range of administrative and logistical tasks. You will be responsible for managing our facilities, finances, personnel, external partnerships, and data, ensuring that our school operates in a safe, secure, compliant, and high-quality manner. Responsibilities: Overall Management and Leadership: -Develop and implement comprehensive operational plans and procedures to optimize efficiency and productivity. -Oversee the management of school facilities, including maintenance, repairs, renovations, and security. -Ensure compliance with all applicable Chinese health, safety, environmental, and fire regulations. -Implement effective risk management strategies to mitigate potential hazards and protect the school community. Procurement and Logistics: -Manage the procurement process, including purchasing, customs clearance, warehousing, inventory management, and asset tracking -Oversee the planning, execution, and monitoring of construction, maintenance, and repair projects -Ensure the cleanliness, safety, and security of the school campus and facilities. -Manage transportation and logistics services, including deliveries, student transportation, and event logistics Human Resources Management: -Lead, supervise, and manage a team of administrative staff, providing guidance, training, and performance evaluations. -Implement effective recruitment, selection, and onboarding processes for new staff members. -Manage employee records and ensure compliance with Chinese labour laws and regulations. Financial Management: -Provide support in the preparation of budgets, financial statements, payroll, accounts receivable, accounts payable, cash flow analysis, reporting, and controlling. -Oversee the management of bank accounts and cash handling in accordance with Chinese regulations. -Process payroll and manage employee benefits. -Monitor cash flow and ensure timely payments. -Identify investment needs and seek financial approvals from the management. -Ensure the proper payment of taxes, social contributions, and other obligations. Data Management and Administration: -Manage and maintain various administrative software programs, including student information systems, human resource systems, and financial systems. -Ensure the efficient and secure management of school data, including student records, employee records, and financial data. -Implement effective data archiving and retrieval procedures. -Provide administrative support to the school leadership and various departments. External Partnerships and Marketing: -Establish and maintain strong relationships with external partners, including vendors, contractors, government agencies, and the local Chinese community. -Negotiate and manage contracts with external providers to secure the best possible terms and services for the school. -Oversee the procurement of goods and services, ensuring quality and cost-effectiveness. -Develop and implement marketing strategies to promote the school and attract new students, particularly in China. Qualifications: -Bachelor's degree in Business Administration, Public Administration, Facility Management, or a related field. -Minimum of 2 years of experience in a supervisory or managerial role within an administrative setting, preferably in an educational institution. -Proven track record of success in managing and optimizing operational processes in a fast-paced environment. -Strong financial management skills and experience in preparing and managing budgets. -Excellent interpersonal and communication skills, with the ability to build and maintain positive relationships with diverse stakeholders, including Chinese authorities. -Fluency in English with strong written and verbal communication skills and Mandarin Chinese proficiency; German is a plus -Working knowledge of Chinese laws and regulations related to education, labour, and business operations. -Experience with facility management software and knowledge of best practices in school maintenance and security is a plus. -Proficiency in relevant administrative software programs (e.g., MS Office Suite).
